    Job Profile
     Applying Flag State licenses as per vessels SMC like Panama, Liberia, Marshal, Hong Kong,
     Ensuring all crew documents and their files are up to date and certifications comply as, MLC 2006, ILO and ISM regulations.
     Preparing and Issuing Correct Crew Appointment Letter, Joining letter and Pre-Joining Checklist.
     Preparing MLC documents for new delivery/ takeovers.
     Liaising with the flag and Class for the issuance and approval of MLC documents.
     Planning and arranging MLC audits (Interim/Initial/Intermediate/Renewal).
     Monitoring and responding to the flag/Class queries for smooth arrangement of the audits.
     Preparing vessels for the audits and responding to the vessel queries.
     Assist in follow up of the external audits.
     Uploading of MLC documents on PARIS and keeping up to date.
     Follow up of the deficiencies and observations and timely closure.
     Preparation of statistics for analysis and feedback.

    Job Profile
     Maintaining crew lists of current manning in respect of each vessel
     Verifying that the qualifications and experience of new recruits are genuine.
     Implementing manning decisions made by the top management.
     Liaising with other department heads for recruitment of deck and engine officers
     Monitoring available ex—crew and schedule deployment anticipating future company needs for recruitment and informing the General Manager on manpower planning and employment problems.
     Checking application forms and previous company records for each sea-going personnel prior to engagement and deal with the same after engagement.
     Managing the selection and recruitment of all seafarers directly in accordance with the safe manning procedures.
     Arrange Interviews, Briefing and placement of all the deserving candidates.
     Maintain and issue Crew ID cards. Collecting the Crew ID cards when the Crew members sign off.
     Ensuring that each vessel is manned with qualified, medically fit and experienced seafarers a supervising the application of STCW convention onboard.
     Arrange medicals for the joining crews.
     Managing all aspects of sea-going personnel’s administration.
     Maintaining personal, medical and training records and certification details of all personnel.
     Keeping all personnel detail files up-to-date.
     Coordinating with the vessels, agents and all the concerned departments.
     Timely submission of Article of Agreement and Form III A.
     Preparing Joining letters, Contract of agreement and Service letters for the crews.
     Maintaining a database which includes key personal information and assignment history of all personnel.
     Check portage and make estimated and actual payroll estimations, budgeting of total medical and travel expenses. Collection / submission of invoices in accounts.
     Ensure all documents of sea-staff are valid and prescribed courses are done before joining the vessel.
     Administrating and controlling all the documents (soft and hard copies) in accordance with Chief Operating Officer’s requirements.
     Keeping track of all files and folders.
     Maintaining records of incoming and outgoing e-mails, receive and file incoming letters, documents with trace ability and confidentially.
     Generating various weekly / monthly MIS reports.

     Certificate of Attendance – Has successfully completed a course on “Maritime Labour Convention” (MLC – 2006).
     Certificate of Extension – Has participated in Annual Extension activities related to Information Technology, Industry Orientation, Entrepreneurship and Career Guidance, Women Empowerment, Population Education and Open Schooling in Year 2012-2013.
